Why your Etsy deposit does not match your sales
By Mardood · Reviewed October 6, 2026 · Manual review guide
An Etsy bank deposit is available cash after account activity, not gross sales or monthly profit. Reconcile the deposit interval before treating a difference as missing money.
Reports to collect
- Monthly statement CSV from Shop Manager → Finances → Monthly statements
- Deposit history and the matching bank entries
- Your order and refund records
How to investigate the difference
1. Choose the deposit interval
Start at the previous deposit and end at the deposit being investigated. A monthly sales total and a weekly deposit describe different periods.
2. Separate availability from sales
Use the payment account records to distinguish money available for deposit from funds not yet available. Keep the latter in a separate reconciliation column.
3. Explain the bridge
Record fees, taxes, refunds and other account movements once, with their source row. Carry a remaining balance forward instead of calling it a loss.
4. Escalate one unexplained difference
Keep the statement, deposit date and amount, currency and bank evidence together. A payment-account reserve or timing difference is not, by itself, an incorrect charge.
Worked example
Illustrative worksheet: $600 of sales, $80 of deductions and $120 not yet available can explain a $400 deposit. The $120 is a balance to track, not a $120 recovery claim.
Illustrative only; not a customer result or recovery estimate.
Before using the app
Can Mardood automatically reconcile Etsy CSV files?
Not currently. This is a manual reconciliation guide. Payout Match and Fee Check compare prepared CSV templates; native Etsy payment-account statements require manual preparation.
