Reconcile marketplace payouts in GBP, EUR and USD

By Mardood · Reviewed October 6, 2026 · Manual review guide

Keep each marketplace account and currency separate until its native-currency balance reconciles. Converting everything into one currency too early hides timing differences and exchange costs.

Reports to collect

  • Native-currency transaction and settlement exports per account
  • Payout conversion details, where the provider supplies them
  • Bank records in the actual receipt currency

How to investigate the difference

  1. 1. Define the account boundary

Create one worksheet per seller account, currency and reporting period. UK and EU operations may have different account, warehouse and payment boundaries; preserve those identifiers.

  2. 2. Reconcile before converting

Match the marketplace’s original amounts first. Keep the sale-currency amount, payout-currency amount and bank receipt as separate values rather than overwriting one with another.

  3. 3. Explain currency conversion

Use the conversion details supplied for that transfer. A current public exchange rate cannot prove that an earlier payout was wrong. Keep rounding differences separate from missing transactions.

  4. 4. Hand off tax questions

Reconciliation organizes evidence; it does not determine VAT obligations or tax treatment. Give the original reports and reconciled balances to your accountant for that work.

Worked example

Illustrative example: a €900 settlement and a £760 receipt cannot be compared by subtraction. First identify the conversion and fees for that transfer; only then compare the expected GBP receipt with the bank.

Illustrative only; not a customer result or recovery estimate.

Before using the app

Does one Amazon policy apply to all European seller accounts?

Do not assume so. Check the policy for the actual marketplace and event. Separate country and account evidence rather than applying a U.S. reimbursement rule across all stores.
